POSITION SUMMARY:


 


We are currently recruiting for an Administrative Assistant II. This full-time position pays $20/hr, and is located in Phoenix, AZ.




This plays a key role in ensuring smooth front desk operations and exceptional customer service. Under the direction of the Support Services Manager, this will assist with the daily coordination of administrative support. 


  


ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Warrant distribution process.

  • Monitoring and responding to all department requests through a shared inbox.

  • Customer service interaction is a primary aspect of this role, as the AA2 screens visitors, customers, and external vendors, directing them to the appropriate internal personnel.

  • Serves as a point-of-contact for the division when accepting legal documents, such as Garnishments and Service of Legal Process.

  • Answers both internal and external calls, provides helpful information, responds to inquiries, and resolves complaints efficiently. 

  • Ensure that all voicemail messages are reviewed daily and that customer inquiries are promptly addressed.

  • Responsible for receiving, sorting, scanning, and delivering all incoming mail and packages. This includes confidential documents, ACH applications, and returned Warrants of Payment. 

  • Ensure timely preparation and distribution of outgoing mail, tracking both incoming and outgoing correspondence daily.

  • Perform other duties as assigned.


Required Qualifications :

Required Skills/Abilities:



  • Proficiency in Google Workspace (Docs, Sheets, Slides, Drive, etc.) required.

  • Exceptional customer service, including direct interaction with the public.

  • Creating business relationships with agencies.

  • Exceptional communication skills, both verbal and written.

  • Effective time management.

  • Troubleshoot and resolve equipment issues.

  • Reconcile and manage documents accurately.

  • Handle sensitive and confidential materials with discretion.

  • Ability to learn and conduct other administrative tasks as requested.

  • Ability to multitask and be flexible.

  • Highly motivated.


Education and Experience:




  • High School Diploma or equivalent, required.

  • Bachelor's degree or equivalent in related field, preferred.

  • Minimum of 2 years of experience in client-facing roles.

  • Minimum of 3 years of experience in front desk.



Physical Requirements:




  • Prolonged periods of sitting at a desk and working on a computer.

  • Working hours M-F, 8:00am-5:00pm.

  • Must be able to lift and move up to 25 pounds.
