POSITION SUMMARY:






We are currently recruiting a Business Coordinator. The Business Coordinator is responsible for performing project support, administrative support, data management and related duties as assigned. This Part-Time position starts at $28 per hour and is in Richmond, VA.












 ESSENTIAL DUTIES AND RESPONSIBILITIES: Reasonable accommodation may be made to enable individuals with disabilities to perform the essential functions.












      • Invoice processing –Use of Outlook email, saving PDF documents, entering information into Excel spreadsheets and 2 other proprietary software systems. Notifying staff and vendors of any discrepancies.















      • Compile information for travel – verify pre-approval, criteria for additional approval, travel rates, types of costs to be incurred and paid for. Identify completeness of documentation for employee travel expense reimbursement, apply rates/policies, save as PDF documents, enter data in proprietary software system. Communicate with staff when transactions are ready for processing and/or payments.















      • Other purchase requests – review requests for completeness and prepare file for purchasing.















      • Accounting for car rentals and gas purchases – delivering gas cards to travelers as needed, obtaining, and saving supporting documentation and entering payment requests in computer monthly.















      • Other administrative functions - ordering supplies, sorting, and distributing mail, inputting facilities maintenance requests, assisting with event planning, maintaining organized files and records, preparing procedure documents / job aids.















      • Participate in developing department goals, objectives, and systems.















      • Participate in staff meetings and attend other meetings and seminars as assigned.















      • Recommend new approaches, policies, and procedures, to continually improve efficiency of the department and services performed.















      • Efficiently performs duties as assigned and works as a team within division and company.















      • Perform other related duties as assigned.









Required Qualifications :

Required Skills/Abilities:



  • Excellent verbal, written, and listening communication skills within the English language.

  • Proven, high quality customer service (internal and external customers).

  • Ability to work collaboratively.

  • Solid ability to analyze situations carefully and adopt appropriate courses of action.

  • Ability to understand and adhere to the duties, methods, and procedures required by the position.

  • Excellent organizational skills and attention to detail.

  • Ability to prioritize tasks.

  • Ability to effectively communicate to large and small group audiences.

  • Proficient with Microsoft Office Suite or related software.


Education and Experience:


 



  • High school diploma or equivalent.

  • Bachelor’s degree in business administration, finance, etc. preferred.

  • Experience in MS Office, Outlook, Teams, Excel, Word.

  • Data entry experience.


Physical Requirements:



  • Prolonged periods of sitting at a desk and working on a computer. 

  • Must be able to lift and move up to 25 pounds at times. 

  • Standard hours of work Monday through Friday, 8:00 am – 5:00 pm.

  • Travel may be required up to 10% of the time.
