We are currently recruiting a full-time Assistant Director of Operations. This full-time, position pays $30.77-$33.17 hour based on experience and is located in Fairfax, VA.

About the Role:


 


The Assistant Director of Operations oversees residential and facilities operations for the Patrick Henry Family Shelter through a low-barrier, client-centered, and trauma informed approach. They serve as both the team leader for residential staff and coordinator of all building facility upkeep and maintenance. The Assistant Director of Operations has both direct service and administrative responsibilities within the shelter. The Assistant Director of Operations will work 40 hours per week but will also provide shift coverage when needed and serve in an emergency on call capacity.



How you will contribute:


● Oversee Residential and Facilities Operations for the Patrick Henry Family Shelter through a low-barrier, client- centered, and trauma informed approach.
● Oversee all facilities maintenance and ensure all repair needs are reported
● Oversee weekly room inspections and follow up as needed
● Maintain current knowledge of emergency procedures and conduct monthly fire drills
● Ensure agency vehicles are maintained and meet state license and registration requirements.
● Directly supervise and facilitate regularly scheduled one on one meetings with all residential staff
● Participate in the interviewing and hiring of all residential staff
● Prepare and distribute schedule for residential staff ensuring 24-hour onsite coverage at all times
● Train all residential staff and manage performance appraisals and documentation
● Coordinate with director to ensure essential personnel are in place during safety/ weather emergencies 


● Create and send out monthly shift logs for staff to document all client interaction
● Complete and review documentation ensuring accurate/professional completion in accordance with agency and best standard practice including logs, case notes, incident reports, etc.
● Conduct emergency intakes for clients entering the shelter’s One Night Only/Overflow Space when needed
● Evaluate and provide for the individual needs of each client, maintaining the dignity and confidentiality of all clients, coordinating and assisting volunteers in the presentation of programs, monitoring residents’ progress, maintaining accurate and detailed documentation and providing support to residents as needed
● Act as advocate on behalf of population served and/or individual clients when necessary
● Work closely with case managers to support and reinforce the client’s housing plan and maintain ongoing communication regarding client’s progress
● Provide families with a venue to report concerns/issues related to their stay and provide a comfortable setting where families may exchange their progress in the program.
● Collaborate with the Community Coordinator to secure donations and volunteer support for the shelter.
● Support program initiatives involving volunteers such as reading program, tutoring, and other client enrichment activities
● Complete changeover with incoming/outgoing staff and report on day’s activities with goal of maintaining consistency throughout each shift
● Maintain compliance with TB testing per agency protocol
● Ensure compliance with all agency policies
● Maintain a flexible schedule in response to the needs of the shelter, and serve in an on-call capacity to help staff address crisis issues
● Ensure compliance with all agency policies
● Proficiently operate a personal computer, fax, printer, copier and Microsoft Office products (email, calendar, drive, etc.).

About You:



Required:
● A bachelor's degree in human services/ related field or commensurate experience


● Strong public speaking and communication skills
● Strong written communication skills
● Ability to prioritize competing responsibilities and make sound judgements
● Valid Driver’s License
● Willingness to work evenings and weekends when needed



Preferred:


● Foreign Language fluency in a language other than English (ex. Spanish, Farsi, Arabic or Amharic)
● 1+ years of program and/or staff management
● Experience leading/ supporting programs serving homeless families
● Experience leading/ managing in a residential environment


 


Physical Requirements:


● Annual TB Test is required
● Ability to sit or stand for long periods
● Ability to lift items weighing 10-20 pounds




Must be fully vaccinated against COVID-19 as defined by the CDC or qualify for a medical or religious exemption before starting work.
