POSITION SUMMARY:


 


We are currently recruiting for a PHIG Administrative Specialist. This will mainly support the Department’s initiatives in workforce development and internal employee communication. This full-time position pays $­­­­39.91/hr, and is located in Providence, RI.


 


ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Provide administrative assistance to the grant and the three strategies that are funded through the grant.

  • Work closely with the Center for Public Health Communication’s Lead for PHIG

  • Communications and Web Development Manager to ensure that all materials to be distributed to staff or external offices adhere to RIDOH communications policies and branding guidelines.

  • Assist a high-level state official by performing the most complex administrative and supportive tasks involved in the implementation and administration of major projects and programs whose effects encompass all departments and agencies of state government.

  • Oversee the official agency files and records and to ensure their accuracy and are kept current.

  • Study and analyze operational procedures and prepare detailed and comprehensive reports of findings and recommendations.

  • Assist a superior by performing administrative tasks and research in the overall agency operation.

  • Coordinate the flow of work among the various units within the agency.

  • Attend conferences and meetings on behalf of the executive leadership team and take notes.

  • Create engaging and informative content, including Microsoft forms, for various internal communication channels, including RIDOH’s intranet.

  • Continually update and maintain the Department’s SharePoint intranet site; this includes posting new material, updating and organizing existing material, and creating weekly summary updates to be shared with all Department staff.

  • Collaborate with IT and web development teams, as needed, to implement technical enhancements and features that support effective communication and collaboration among employees.

  • Perform other duties as assigned.


Required Qualifications :

Required Skills/Abilities:



  • Ability to create Microsoft Forms.

  • Ability to edit videos for online use (including social media).

  • Must be comfortable working in SharePoint.

  • Excellent verbal, written, and listening communication skills.

  • Ability to effectively communicate to large and small group audiences.

  • Excellent organizational skills and attention to detail.

  • Ability to multitask and be flexible.

  • Highly motivated.


Education and Experience:




  • High School Diploma or equivalent, required.

  • Education gained through successful completion of at least two years of academic study in an accredited institution of higher education

  • Experience gained through considerable employment in a supervisory position in State government assisting a high-level State official performing complex administrative and supportive tasks involved in the implementation and administration of major projects and programs that had an effect on all departments or agencies.

  • Prior experience as a SharePoint site owner/administrator.



Physical Requirements:




  • Prolonged periods of sitting at a desk and working on a computer.

  • Working hours M-F, 8:00am-4:30pm

  • Must be able to lift and move up to 25 pounds
