POSITION SUMMARY:


We are seeking a motivated and detail-oriented Technical Project Coordinator to support our team in a complex software implementation that transitions the Virginia Department of Health from paper records to a cloud-based EHR solution with Cerner/Oracle Health. The Project Coordinator will provide support in various areas, including communications, training, and organizational change management. This role will involve coordinating logistics, facilitating meetings, and assisting with all EHR project-related tasks to ensure successful implementation and ongoing support through the project’s lifespan. This Full-time position starts at $35.13 per hour and is Remote with some travel to workshops in Richmond, VA.

  • Project Support: Assist workgroup leads in managing their initiatives and projects, helping with planning, execution, and monitoring to ensure timelines and objectives are met.

  • Meeting Coordination: Schedule and facilitate meetings for project workgroups, manage attendance, and ensure follow-up actions are tracked.

  • Meeting Documentation: Take and distribute meeting notes, highlighting key decisions and action items.

  • Training and Communications: Develop and distribute training materials and communications related to organizational change management.

  • Lunch and Learn Coordination: Organize and manage Lunch and Learn sessions, handling logistics and speaker arrangements. The team member will also be responsible for creating and reporting on post-event surveys to assess satisfaction and effectiveness, tracking engagement levels during the sessions, and monitoring any follow-up actions taken by participants.

  • Monthly Newsletter Editor: Develop and manage the monthly newsletter, delivering content to over 1,300 staff members, with an average open rate of 75%, ensuring the information is both engaging and impactful.

  • Collaboration: Work collaboratively with diverse teams to foster effective communication and cooperation.

  • Attention to Detail: Maintain meticulous attention to detail in all tasks to ensure accuracy and quality in project deliverables.

  • Tech Savvy: Stay updated on technological advancements relevant to EHR systems, demonstrate proficiency in necessary tools, and possess the ability to quickly learn the new EHR system and teach it to others.



  • Efficiently performs duties as assigned and works as a team within division and company.

  • Perform other related duties as assigned.

Education and Experience:



  • Bachelor's Degree Required.


Physical Requirements:



  • Prolonged periods of sitting at a desk and working on a computer. 

  • Must be able to lift and move up to 25 pounds at times. 

  • Standard hours of work Monday through Friday, 8:00 am – 5:00 pm.

  • Travel may be required up to 10% of the time.
