Position Summary – Executive Assistant to the CEO


We are seeking a highly skilled and motivated Executive Assistant. This pivotal role requires a proactive individual with broad and comprehensive experience preferably in the healthcare field, a high level of professionalism, exceptional communication skills, discretion and knowledge of the organization and its policies and practices. The ideal candidate will be an excellent critical thinker, responsible for performing advanced, diversified, and confidential secretarial and administrative duties. The Executive Assistant will support the CEO and other C-suite leaders, ensuring smooth and efficient operation within the executive office.


 


This role is currently in person in Hanover, MD. 


Required Qualifications :

Key Responsibilities


·       Administrative Support: Perform advanced and confidential secretarial and administrative duties, ensuring the smooth operation of the executive office.


·       Communication Management: Write and route confidential correspondence, screen and handle incoming phone calls, and manage large volumes of incoming mail.


·       Calendar Management: Maintain and organize the calendars of the CEO and other C-suite leaders, scheduling meetings and coordinating travel plans as necessary.


·       Documentation and Reporting: Organize chart updates. Prepare forms and review documentation for conformance with internal policies and procedures. Compile information for reports, documents, and proposals.


·       Meeting Coordination: Arrange meetings and presentations, including preparing agendas, collating materials, and distributing meeting minutes.


·       Budget and Expense Management: Prepare and track budgets, submit expense reports, and order supplies as needed.


·       Database Management: Create and maintain databases, utilizing various software packages (Microsoft Office Suite) to produce high-quality reports and presentations.


·       Team Collaboration: Foster a supportive team environment by assisting other team members and demonstrating strong self-awareness, including the ability to ask questions and seek help when needed.




Qualifications


·       Education: High School diploma required; a degree in a relevant field is preferred.


·       Experience: Minimum of 5+ years of administrative experience, preferably in a healthcare setting, with a strong background in supporting C-suite leaders.




Skills:



  • Excellent written and verbal communication skills.

  • Strong critical thinking and decision-making abilities.

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.

  • Strong attention to detail and organizational skills.

  • Team player mentality with a collaborative approach to work.

Physical Requirements:



  • Prolonged periods of sitting at a desk and working on a computer. 

  • Must be able to lift and move up to 25 pounds at times. 

  • Standard hours of work Monday through Friday, 8:00 am – 5:00 pm.

  • Travel may be required up to 10% of the time.
