Transportation Coordinator

POSITION SUMMARY:
We are seeking an experienced and organized Transportation Manager to oversee and direct transportation operations, fleet management, and shuttle services for the University. This critical role involves planning, managing, and coordinating daily transportation operations, ensuring efficient fleet maintenance in collaboration with Facilities Management, and overseeing the motor pool, including support for special transportation events such as athletic team travel. The Transportation Manager will directly or indirectly supervise support staff, including drivers, automotive technicians, and fleet personnel, ensuring smooth and reliable transportation services. This position requires strong leadership skills, strategic planning capabilities, and a commitment to maintaining high standards of safety, efficiency, and customer service. This Full-time position starts at $25 per hour and is located in Norfolk, VA.

- Plan direct and manage daily transportation Services operations to ensure efficient services. Assures compliance with federal, state, and local laws and codes.
- Develop, review, and administer Transportation Services Department policies and procedures.
- Develop annual department goals and objectives.
- Develop long-term transportation plans that include non-vehicle and alternative vehicle components.
- Develop, Implement, and manage programs and services to facilitate the use of alternative methods of transportation and work habit modifications to minimize the need for campus vehicular parking.
- Develop and implement traffic safety education and enforcement initiatives to work closely with campus planners to promote the safe use of vehicles in and around campus vehicular parking

- Manage the Transportation Services annual auxiliary-based operating budget within established university financial policies and procedures
- Monitor monthly department revenue and expenses to include receivables and forecast year-end revenue and expenses every quarter to include financial reports and reconcile as appropriate
- Maintain appropriate contracts related to Transportation Services as assigned,
- Serve and represent committees, public events, and professional organizations.
- Engage in problem-solving, presentations, focus groups, and sharing information with constituent groups on and off campus.
- Collaborate with the Chief mechanic.
- Oversee the daily operations of the motor pool, ensure vehicles are well maintained, and establish a vehicle replacement schedule.
- Oversee shuttle services (either in-house or outside vendor
- Manage part-time long-distance and shuttle drivers, including hiring, scheduling, assigning work, reviewing performances, and recommending salary increases, promotions, or terminations.
- Process Monthly motor pool recoveries.
- Efficiently performs duties as assigned and works as a team within division and company.
- Perform other related duties as assigned.
Required Skills/Abilities:
- Considerable time is spent at a desk using a computer terminal.
- May be required to travel to other buildings on the campus.
- Attending conferences and training sessions on campus or in or out-of-state locations may be required.
- They may be required to travel occasionally to outside customers, vendors, or suppliers.
- Must be able to work long hours in case of emergency and emergency recovery period
- Must be available 24/7 to assist with transportation in emergencies
- Proactive problem-solving skills and critical thinking
- Excellent organizational skills and attention to detail.
- Ability to prioritize tasks.
- An ability to effectively communicate to large and small group audiences.
- Proficient with Microsoft Office Suite or related software.
Education and Experience:
- High school diploma or higher required.
- A valid VA Non-commercial Class C driver’s license (or equivalent) is required, along with the ability to meet the requirements to operate a VA State vehicle.
- Minimum of six (6) years of progressively responsible experience in transportation supervisory roles or equivalent experience.
- Strong understanding of business continuity principles and practices.
- Demonstrated skills in communication, team building, project management, and analysis.
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift and move up to 25 pounds at times.
- Standard hours of work Monday through Friday, 8:00 am – 5:00 pm.
- Travel may be required for up to 10% of the time.
